Thank you for your participation in this year's WSA Cup 2024.

In a profound way, we are grateful for your participation, friendship, goodwill, and sportsmanship.  

This particular event was special for many reasons to many inside our organization, and we are extremely grateful for your participation in helping us honor the Life of Kinsey Wright through this year's event. 

We have released our Declaration of Champions, and options for Refund and the processes to follow.

Teams who have been declared "co-champions" do have an option to schedule a Final if so desired, if those teams are Tulsa-area teams.

NOTE: Teams receiving awards in the Tulsa area may pick these up TUESDAY, APRIL 30, 530 - 700 PM, at the West Bank Sports Complex, Ken Lovelee Clubhouse.  Teams outside of the Tulsa area can choose to have their awards shipped (see WSA Cup 2024 Process Form above). 

The KW Guardian of the Goal Voting will continue through Monday Night.

MONDAY, APRIL 29, 12 PM: Brief Update on Processes 

Team Leaders:

We apologize for the delay in correspondence.  The purpose of this email is simply to provide brief, but not final or confirmed updates.

Our Tournament Committee has proposed a tournament plan and process to our board.  We exist as a non profit, and the board is reviewing. 

We have contacted some teams already, regarding refunds.  These are teams who traveled great distances to participate in the WSA Cup 24. 

We have had a committee review results and render DECLARED or UNDECLARED Champions, Co-Champions, Runners-Up, Co-Runners-Up.  

In cases where Local (Tulsa area) teams were declared Co-Champions, we are attempting to stage opportunities for the FINAL to be played if both teams desire to do so. 

Individual medals for teams Declared Champions or Co-Champions or Runners-Up or Co-Runners-Up, will be made available to local teams for pick up (info coming soon).  We do not believe we have enough "team trophies" to outfit all teams due to the number of cases of "Co-Champions" declared.  

We would like teams to consider the following possibility for teams which become eligible for refunds based on some assessments we are currently performing:

We were grateful, humbled, and honored at your team's participation in our celebration of Kinsey Wright's Life and Legacy at WSA Cup '24.

We have a fund that is separate and removed from our non profit's, that is the dedicated Kinsey Wright Beloved Fund.  This fund was set up at the generous and amazing bequest of the family last October. 

The family recently met with us, and helped inform the ways we would celebrate Kinsey at this year's WSA Cup. At that time they also asked us to target a goal which had not been met yet in the KW Beloved Fund.  The KW Beloved Fund will generate "need-based scholarships" for players to participate in competitive soccer.  The parents presented a goal of the fund, such that a certain number of need-based recipients would receive funding annually to assist their soccer endeavors.  WSA offered to perpetuate that funding into the indefinite future (whatever goal is met this year, will be annually perpetuated to make the KW Beloved Fund a perpetual benevolent fund for need-based players).    

Mrs Wright desired to meet the recipients of the need-based scholarship annually to help share testimony of Kinsey's Legacy.  Based on some general metrics established for the fund and the number of recipients, we still have a target that has not been reached.

With all the above said, we are contemplating providing teams options regarding refunds which would allow to allocate their refund to the KW Beloved Fund.  This could help move the fund much closer to the goal set by the Wright family. 

In full and open transparency, this fund is dedicated, at the moment, to assisting WSA Soccer players, or players participating in the various WSA Soccer programming.

We know consideration to contributions such as this requires prayerful, thoughtful consideration.  We wanted to present this now for teams who become eligible for a refund.  

We will follow up on our refund process, declaration of winners, and our potential scheduling of localized "finals" for teams desiring to do so.  Some further logistics are required before we can finalize.

PSS: Over 1,000 votes have been recorded for the KW Guardian of the Goal Award!  We are overwhelmed by this.  Voting is still open for the remainder of MONDAY, APRIL 29. 
 


APRIL 28: SUNDAY, 8:00 AM: Sunday Games Canceled, Explanation, Plan, Process

WSA CUP 2024 Sunday games have been canceled.

Team Leaders,

Our field crews have performed an assessment this morning of all 23 fields at Case Community and Jenks Sports Complex.

Unfortunately, at both facilities, creek beds have backed up and overflown significant portions of both facilities.

Jenks Sports Complex has 3 "playable" fields, all turf, and there is currently not a walk-way to the turf fields.

Case Community RiverCity Parks in Sand Springs has 4 of 11 fields that are not playable. There are 4 fields that our crew has been working on, but not playable yet. The entire overflow parking is underwater.

The net result is a loss of 17 of the 23 fields and 1/2 of the parking at one facility, and there is not a schedule we can contemplate, or a parking plan we can come up with that resolves a good experience for your families. In addition we are forecasting further delays mid-morning through early afternoon.

There is also another line of storms that are going to come through both facilities at 11 AM - 1 PM today.

GIVEN ALL OF THE ABOVE INFORMATION WE HAVE MADE THE DECISION TO CANCEL THE SUNDAY'S WSA CUP.

Our event staff will work on two areas and try to have information sent to you over the next 24 hours:

APRIL 27: SATURDAY 8:45 PM:  Sunday Plan/Process

Team Leaders,

Operating off the current forecast of 1.5" to 3" of rain overnight, we can supply the following information.

Our goal is to play Sunday's matches and continue the tournament. 

Kickoff times for games will be delayed until 10 AM at minimum.

Field evaluations will take place between 7-830 AM.  Once the forecasted storm is complete, our field crew will begin evaluating.  If enough fields can be cleared for a start time prior to 12 PM then the tournament will proceed.  

We hope to begin by 10 AM AND to proceed with all games at modified times.  In addition we will have to shorten game times. Example: if your game was at 8 AM, it would now begin at 10 AM and if your game was 9:30 AM, it would now begin at 11 AM.  The game durations will be changed.  Example: If you are a 9v9 or 11v11 team you will now play 2x25 min halves, with a 1 minute halftime. 

If it is possible to return to a regular schedule by 2 PM we will. 

It is possible your field number will change.  It is also possible your facility will change.  We anticipate significant changes for Case Community Field #10. 

We will send additional information if/when there is any available later tonight.  

Our fist message in the morning will be approximately 8:00 AM to notify all teams of our intent.  When it is possible to know the field conditions (after the storm at 7 AM is complete) we will then assess our capacity to clear fields to playable, and we will then alert you.  

We do understand this may impact traveling teams, traveling from further than 1 hour away.  We will do our best to consider this in planning.

APRIL 27: SATURDAY 6 AM REMINDERS
, Weather Plan, Honoring KW 

Team Leaders:

Saturday there is a threat of severe weather in our area.  We will be monitoring the weather throughout the day.  The forecast shows this threat for approximately 3 PM.

If there is LIGHTNING in the area  we will alert & communicate via this email & text alerts, and via horns field side to seek shelter in cars during the delay.  The delay will take place until we have a 30 minute window of clearance.  If games are delayed then there may be schedule revisions for future game start times, or games may be shortened after the delay.  

IF there is threat of DANGEROUS weather requiring an evacuation, we will alert via this email and on site via horns.  This evacuation will be executed at least 1 hour in advance of the forecasted threat and will require all participants to LEAVE THE FACILITY and SEEK SHELTER elsewhere.

REMINDERS:

Parking at both complexes - expect delays.  At Case Community Parks the overflow parking will be limited due to rain.  DO NOT PARK IN MUD or WATER.  We cannot pull cars.

APRIL 26 UPDATE #2: Sunday, Case Community RC Parks F10, possible revision

If your team plays on Case Community RC Parks Field #10 on SUNDAY, please be prepared for these games to move to JENKS SPORTS COMPLEX.   

A further update will be sent to confirm.  We simply wanted to inform all teams in this situation to begin planning for staff and conflicts that might be created by this revision.

THUS FAR ALL CHANGES have only revised field #'s with games still being played at the same facility and same time.

WE ANTICIPATE some kickoff time changes going forward.

The MOST LIKELY OUTCOME for SATURDAY is that teams playing on Case Community F#2 will have some modified kickoff times.

APRIL 25, 2024 - Weather Update & Field Maps

TEAM LEADERS: 

WEATHER UPDATE:  All games on and tournament will proceed as scheduled. 

Current forecast has improved for Saturday.  Thus far Tulsa has not taken on as much rain Wednesday and Thursday as anticipated.  We do expect rain overnight tonight and into Friday and again Saturday night into Sunday. 

Contingency plans are in place, as well as proactive plans.  We have hired work crews to clear fields as needed if we receive more rain than fields will hold.  We have permission and greenlights from both facilities to move foward with playing and managing the damage to surfaces that may result.  The reasons for revisions would be: 

Lightning or Severe Weather threatening Safety - be prepared for delays and please abide by tournament communications to help lead the safety of all. 

Fields become Unsafe: More water is take on than anticipated and field surfaces hold too much water to allow for safe play.  In this case we will modify the schedule.  Clubs with coaches with multiple teams should be prepared to adapt.  Teams should be ready to ask assistant staff to stand in as coaches, because a modified or revised schedule will not prioritize coaching conflicts, and will focus on allowing the athletes to play. 

If your team has not checked in this is now PAST DUE.  Online checkin is REQUIRED.  Teams not checked in will jeopardize results being counted in tournament standings.

KINSEY WRIGHT BRACELETS & RIBBONS: 
The Kinsey Wright Amazing Teammate Awards and Kinsey Wright Pink Trust God Bracelets, will be handed out at the White Headquarters Tent at both facilities.  

Reminder that we encourage teams to nominate one player from the opponent that was an Amazing Teammate and recognize that player with the KW Amazing Teammate Ribbon.  Teams will receive 3 Ribbons.  If teams advance to Semis and Finals please be sure to check back at the tent to pick up your additional Ribbons. 

Bracelets come in YOUTH and ADULT sizes.  

PROVING GROUNDS AWARDS STAGE:  Weather provision.  IF there is rain during the Final the trophy presentations will be expedited. The Proving Grounds Awards Stage will be set up for photos for those teams who wish to use the backdrops. 

OTHERWISE IF WEATHER COOPERATES THE FOLLOWING WILL BE THE PROCESS:
All teams reaching the Final will be requested to appear at the Proving Grounds Awards Stage for a brief trophy presentation.   All teams reaching the Final will receive individual WSA Cup medals, and team cups. 

One "Ken Lovelee Player of the Tournament" will be awarded per age division.  This award is presented a player that exemplified Mr Lovelee's life commitment : Live Honorably, Serve Selflessly.   Mr Lovelee was WSA Soccer's 2nd president, and served from 2006 thru 2014.  He passed on with cancer in 2015.  The "Player of the Tournament" trophy is one way we honor his life's work and legacy.

AMAZING TEAMMATE AWARD AT EACH MATCH:  Kinsey was an AMAZING TEAMMATE!  After each match please nominate a player from the opposing team to honor w/ the Kinsey Wright Amazing Teammate Ribbon.  

Kinsey's favorite color was PINK.  She loved collecting ribbons for her soccer bag.  And she left us a poignant message on her cleats: TRUST GOD.   As we play this weekend, we honor Kinsey, by magnifying her Life, and expanding her Legacy as we play.  Thank you for considering participating.

Weather Forecast:  There are storms expected on Wednesday thru Friday.  We are already taking measures to attempt to keep all fields playable and to create contingency plans.  We are fully aware of travel teams, hotel commitments, and timelines regarding cancelation vs playing.  We will do our best to "decide early" and to consider "safety first".  We do have word from both facilities in use that fields can be played on even with the expected rain.  This means we have crossed one hurdle.  Without knowing the full extent of rain that each facility will take on,  we will remain ready to flex and adapt as needed to help ensure all games can be played.  We will continue to keep you updated.  More frequent updates will be sent via TEXT ALERTS - SIGN UP HERE.

The final roster you provide at check-in and/or upload via the Roster Revision upload is your OFFICIAL TOURNAMENT ROSTER.  You must have on your person 2 physical copies of your tournament roster at all times, which will match your final revised, uploaded roster. REFEREES WILL CHECK ROSTER & PLAYER PASS CARDS/PROOF OF BIRTH prior to games.  

No roster checks or age checks will be permitted once a match has begun.  We encourage teams who have players who play in multiple divisions of the tournament to ensure those players are "checked in w/ the referee" prior to kickoff to avoid any question of roster validity. 

SCORE REPORTING:  Referees will report scores to the tournament headquarters.  It is important for each coach to verify the score with the referee at the conclusion of the match.  In 7v7 and 4v4 matches, where one referee is managing scores (often high scores), rules, and discipline, please verify the score at halftime and at game's conclusion to ensure no discrepancies arise. 

SPORTSMANSHIP, GOODWILL, FRIENDSHIP
This is why WSA Cup was birthed in 2000.  In our 24th year, we are excited continue to partner with you in leading such honorable traditions, and ambitions on behalf of your athletes. 

FIELD MAPS - Field maps will be posted by Wednesday, if not sooner.  We are currently creating a couple of contingency plans for fields who usually take on more water in efforts to keep all games on schedule and on time in the event of any weather this week. 

FIRST AID - Certified athletic trainers will be at both locations.  These trainers may not have the capacity to tape unless you arrive at least 1 hour prior to kickoff.  Field Marshals and event coordinators will be located on golf carts and can radio for a trainer on any field as/if needed.  Tourney Headquarters & First Aid tents will appear on the facility map once complete.

Any team that has not checked in via the ONLINE CHECK IN will jeopardize NOT RECEIVING points in the standings.  Online check-in is PAST DUE.

 TEAM ONLINE CHECK-IN.  During team check-in you will submit your roster, and pre-pay for the facility parking pass (which will be a team set).  PAST DUE!

2.  Please send any feedback regarding brackets ONLY via the SCHEDULE/BRACKET FEEDBACK FORM.  * Brackets are still in process of being formed - a separate email will alert teams of the preliminary brackets being completed.

NO BRACKET or SCHEDULE FEEDBACK will be accepted by TEXT, EMAIL or CALL.  All feedback MUST BE SUBMITTED BY THE SCHEDULE/BRACKET FEEDBACK FORM.
