
NO REFUNDS will be granted after the tournament deadline has passed, and the team has been accepted into the tournament.
ACT OF GOD REFUND POLICY: If the tournament is canceled prior to kickoff for an Act of God (usually a weather related event) before the first game for the team, the event will offer recompense to the team as follows:
- Up to 50% refund of this year's entry fee (pending expenses)
- Minimum of 33% refund of this year's entry fee (pending expenses)
- Up to 50% discount on future event
- 100% refund of any parking fees
CANCELED AFTER EVENT HAS BEGUN: If the tournament is canceled mid-way through the event then refunds will be pro-rated based on number of games as follows:
- Played 1 Game of 3 Guaranteed - refund of minimum of 33% up to 50% of the entry fee
- Played 2 Games of 3 Guaranteed - no refund guaranteed, will aim for a refund of 33% of the entry fee
- Played 2 Games of 3 Guaranteed & Champions Declared - if teams have played 2 games and enough data is available to determine and issue awards for Champions then no refund will be issued
- Played 3 Games - no refund will be issued, will aim to declare champions
- No Refund Issued - if the tournament does not deliver 3 games, and in the above criteria no refund is warranted, the tournament may still issue a voucher to the team and/or club for a discount to a future event as a goodwill gesture
RATIONALE: A tournament requires several "up front" costs and expenses, such as purchasing awards, insurance, field prep, facility prep, hired staff, security, parking, referee expenses such as food, hotels, and more, etc... These expenses will be expected to be covered by entry fees in a circumstance that requires canceling the event. These expenses are incurred well in advance of the event and cannot be recovered by the event entity.
EVERY REASONABLE EFFORT: Every reasonable effort shall be made to attempt to host the games in an environment that is first safe, and second functional to play. Criteria used to determine an Act of God cancellation, will be as follows:
- Safety of passage - travel, ingress & egress safety
- Safety of participants who play - on field safety due to field and/or weather conditions or threats of such utilizing resources of professional medics & trainers regarding weather related threats to safety; and utilizing certified referee assignors regarding field condition threats to safety
- Forecasted Hazards - a 2-week, 1-week, 5-day, and 3-day forecast will be used for assessments of weather and/or other threats to safety that may arise
- Reasonable Value of Schedule - the schedule can be modified to ensure games are played on new timelines, and the amount of possible "game time" will be considered
- Athlete Experience - delivery of a reasonable athlete experience will be considered
- Courtesy Travel & Lodging Considerations - timelines for decisions will consider prospective cancellation policies for tournament lodging and travel plans of visiting teams
EXPECTED RISK: Registering teams are expected to understand there is a risk of cancellation associated to every outdoor event. Prospective teams register understanding this risk, have researched our event hosting history, standards for cancellations or postponements, resources to restructure schedules and continue play, and have agreed upon entering that this is a reasonable risk to take, and agree to the refund policy contained herein.
